Who we are
We Heart Homes KC is a residential real estate team brokered by KW Kansas City Metro, serving the Kansas City metro across Missouri and Kansas. Contact: info@whh-kc.com, 816.745.8906.
What we collect
When you contact us — name, email, phone, the property or neighborhood you ask about, and anything you write in a form.
When you use the site — standard technical logs (IP, browser, pages viewed, referring site) used to keep the site working, not to identify you.
When you become a client and use the portal — your name, email and phone; your property's address, characteristics, features and improvement history; photographs and documents; listing information, showing feedback and marketing performance; transaction dates and contract terms including under contract date, inspection and appraisal deadlines, loan commitment date, closing and possession dates, purchase price, earnest money, and the other parties' agents; and notes your agent records.
When you sign in — your email and an authentication record. We never see or store your password; sign-in is handled by our authentication provider.
Where it comes from
Some you give us directly. The rest comes from documents you or your agent upload (contracts, disclosures, listing sheets, from which we read dates and terms), the MLS, transaction management systems such as Dotloop, and your agent and transaction coordinator recording milestones.
How we use it
To represent you in buying or selling a home; to show you your own transaction — property record, timeline, deadlines, documents; to communicate with you; to respond when you contact us; to meet legal, brokerage and record-keeping obligations. If you consented to calls or texts we use your number for that, and you can withdraw consent any time — reply STOP to any text or tell us.
Who can see your information
Portal access is restricted by role and enforced at the database level, not just hidden in the interface. You see your own property, timeline, documents and deadlines; if more than one person is on your portal — a spouse, co-owner or business partner — each has their own sign-in and all see the same information. Your agent and our team administrators see your transaction, including information not shown to you such as competing offer amounts during a negotiation. Other clients cannot see your information, ever.
Who we share it with
Service providers who run our systems — hosting, database, authentication, email delivery, transaction management, and our customer relationship system — who may process your information only to provide those services to us. Parties to your transaction — the other side's agent and brokerage, title and escrow companies, lenders, inspectors, appraisers, and the MLS. KW Kansas City Metro, our brokerage, for compliance and record retention. Legal authorities where the law requires it.
We do not sell your personal information and we do not share it with advertisers.
How long we keep it
As long as our brokerage and state law require, typically several years after closing. After your transaction closes your portal remains available to you as a record of your home unless you ask us to remove it.
Your choices
You can ask us to show you what we hold, correct anything wrong, remove your portal access, or stop contacting you. Email info@whh-kc.com. Some records must be retained for brokerage compliance even after you ask us to stop using them; we'll tell you if that applies.
Security
Access is controlled by database-level permissions, documents are served through expiring private links, and sign-in requires a verified email address. No system is perfectly secure, but we take the protection of client transaction data seriously and design for it deliberately.
Children
Our services are for adults. We don't knowingly collect information from anyone under 18.
Changes
If we change this policy we'll update the date at the top. Material changes affecting current clients will be communicated directly.
